Student Organizations generally have various structures and positions to support their operations. The core positions usually include the Chairperson, Secretary, Treasurer, and Division Coordinators.
To run organizational programs and activities effectively, sufficient funding is required. Therefore, the treasurer plays a crucial role in managing and supervising the organization’s finances.
The treasurer’s function is essential in maintaining the financial health of a Student Organization so that all activities can be carried out in an organized, effective, and responsible manner.
1. Financial Administration
The treasurer is responsible for handling the organization’s financial administration, including:
-
Recording income and expenses
-
Preparing financial reports
-
Managing and monitoring organizational funds
In addition to keeping digital transfer records, the treasurer must also store physical transaction evidence such as receipts, invoices, or payment notes. These documents should include complete information such as:
-
Store or company name
-
Address and phone number
-
Name of the owner or staff
-
Signature (for cash transactions)
This ensures the validity and accountability of financial reports.
2. Financial Management
The treasurer is responsible for managing and supervising the organization’s finances, including:
-
Controlling expenditures
-
Budget planning
-
Financial monitoring
For organizations with representatives across multiple BINUS campus regions, financial management can be more challenging. Therefore, a treasurer is expected to be detail-oriented, responsible, and willing to learn new things.
3. Payments and Reporting
The treasurer handles all payments related to organizational activities.
In addition, the treasurer is responsible for preparing financial reports that must be submitted to the relevant student affairs units, namely:
-
Student Support Office (SSO) for event-related financial reports
-
Student Involvement Center (SIC) for monthly financial reports
4. Prevention of Fund Misuse
With a responsible treasurer in place, the risk of fund misuse can be minimized.
The treasurer plays a role in conducting internal control over financial transactions to ensure that all fund usage is properly monitored and accounted for.
5. Transparency and Accountability
A treasurer must uphold integrity, transparency, and accountability in managing organizational finances.
Through accurate and open financial reports, relevant stakeholders can monitor and evaluate the use of funds clearly.
BINUS Support for Student Organization Treasurers
Not all treasurers come from Accounting or Finance backgrounds.
Therefore, the Student Involvement Center (SIC) at BINUS University provides basic financial training to equip treasurers with the necessary skills to carry out their duties throughout their term.
Students who wish to learn more about the treasurer’s role can visit the Student Support Office (SSO) in their respective campus regions.
